Service management

SamFM offers a complete range of modules designed to improve services management. In this regard, SamFM is an interactive mean of communication between building managers and occupants.

Management of service requests

There are many advantages in offering a web application which enables building occupants to create their own service requests and follow their progress status. Such as :

  • A greater productivity of maintenance teams,
  • A significant promotion of technical teams’ job.





The request form, designed beforehand by the software administrator, guides the user when creating the request in order to make it the most precise and complete as possible (predefined domains, standard description, mandatory fields,…). Moreover, thanks to intuitive data entry, a request is created within a few minutes.

SamFM precise requests, leaving no room to interpretation, as well as redundancy detection help you to increase the reactivity of requests processing. A requestor can follow the progress status of his request, and thus appreciate the service given by technical teams.

In addition, the sophisticated access code management of SamFM allows you to identify and to automatically locate a requestor but also to choose the information he can access to.

Directory

SamFM offers a directory divided in two parts:

  • through the internal directory, data is accessible by list or by department,
  • Through the supplier directory, data is accessible by contact name or company name.

In the internal directory, the department list can be managed through 3 levels of hierarchy (Legal entity – Site/Subsidiary – Department) so that information can be spread within departments or group of departments.
To add up to its user-friendliness, the directory also integrates a multi-criteria search functionality.

Conference room management

SamFM includes a user-friendly room booking module offering a high level of confidentiality.

More than a booking tool, this module enables users to choose a provision of services.

It is also possible to link the participants’ registration with the Directory module lists.


These modules’ characteristics are:

  • Displays a catalogue of meeting and conference rooms,
  • Manages availability, capacities and possible configurations of every room,
  • Integrates a management of flexible rooms: if a part of a room is booked, the entire room becomes unavailable,
  • Offers flexible time slots for bookings by quarter of an hour, half-hour, hour…,
  • Simplifies the entry and the management of booking types: covering several days, periodic, cyclic,
  • Offers different services: catering, cleaning...  with email notice to providers,
  • Manages available devices: video projector, network connexion, PCs… and their installation, via email notification when a reservation is made,
  • Invites participants, who may (or may not) be listed in the Directory module and allows giving them a role (host, organizer, participant…).

Thanks to a multi-criteria search based on spaces availability (capacity, equipment, set-up and services provided) and taking into account existing bookings but also cancelled ones, SamFM helps the user to easily select the most appropriate room.

Lastly, room bookings can be subject to the manager approval.

Visitors access management

With this module, SamFM enhances the company image while ensuring secure access to the buildings.

You can:

  • Inform the reception staff of any visit planned,
  • Easily direct visitors towards their meeting location,
  • Prepare access cards and authorizations,
  • Display the list of visitors within a facility and follow up arrivals and departures.

Linked to the conference room booking module, SamFM also automatically informs the reception desk, when a space is booked for a meeting, that a visitor is coming.

Satisfaction survey

This module is a great tool to assess the satisfaction level of your building occupants, in particular regarding the service requests they issued. Surveys are carried out via email. All collected information and statistic can either back up your customer service quality or help you find ways to adjust it if necessary.
 
As soon as a response is received, SamFM automatically calculates and updates the results and displays them as a graphic.

Communications

Information:
SamFM offers you to post online information about the building organization: internal news, available services to occupants, instructions (security, fire)… Links to external services can also be displayed (car rental, business trips booking, gym clubs, road traffic…

MySamFM:
a homepage you can customize to have your own menu and your own indicators updated in real time.

Alerts and communications:
Within SamFM, users can communicate through an internal mailbox, get reminders on operations to be done, and display warning about contracts ending…
